CCMS blueprint creation

In the blueprint, we describe the key processes and outputs of technical editing as part of corporate product development and change processes, identify system use cases for a CCMS solution to support editorial activities and document stakeholder requirements.

We take into account existing tools and systems that need to be integrated or replaced when implementing a component content management system (CCMS, technical editing system) and describe the integration and migration needs accordingly. Another important aspect of the analyses are editors’ outputs, or work results (e.g. application instructions, spare parts catalogue, etc.). These are described in such a way that an estimate can be made regarding their implementation in a new CCMS solution (e.g. using style sheets).

The result is a professional requirement specification for tendering a CCMS solution. In addition, further content is listed to aid better understanding of the requirements, for example, a description of the company and the drivers or reasons for the project. Finally, the content (scope) and the framework conditions for a CCMS project are defined and goals that must be achieved for successful implementation are formulated.

Project planning and management

We create a project plan with our customers based on the target specification agreed with the supplier, which defines the content, the process model, the responsibilities, the schedule and the boundary conditions. Depending on the project, content like project management, solution development, data migration, infrastructure, verification, training, organisational change management and the roll-out must be planned.

We also support the methodical execution and control of a project according to the project plan and the use of tools and systems that support the project. These are tasks such as task or deliverable assignment and follow-up, risk management and problem and change management. We also support requirements management from recording to approval, where the development of new requirements (requirements engineering) is an independent task.

We have many years of experience in the application of static, iterative and agile process models. We would be happy to support you in the planning, management and correction of your project. Based on certain success factors, we analyse ongoing projects and give specific suggestions for improving the project situation.

Structure and layout development

Component content management systems (CCMS, technical editing system) work based on the single-source and cross-media publishing principles. Single-source publishing refers to the use of a unit of information (topic) in different publications (e.g. documents). Reuse is highly beneficial in technical editing. Cross-media publishing refers to the presentation (layout) of information (e.g. a document) on different media. The layout is created automatically, which in turn is really beneficial.

Firstly (1), we help companies to create an information model which can be used to map their publication content in XML (DTD, Schema). For example, we adapt standard models like DITA to the needs of technical editing. Secondly (2), we support the modularisation of content into (2a) suitable information types and (2b) units of information to ensure that content is optimally reused. An information model forms the basis for single-source publishing, and the quality of it has a direct impact on the benefits that can be achieved. The information model is also a prerequisite for cross-media publishing.

We also help companies to create style sheets, which are required to generate the layout and formats (e.g. PDF, HTML), i.e. cross-media publishing. We analyse our customers’ requirements and then implement them in different technologies (XSL, CSS). We also develop solutions based on publishing tools like DITA Open Toolkit or Antenna House Formatter.

Tool and system integration

In order to develop publication solutions for technical editing, different tools (e.g. an XML editor) and systems (e.g. a translation memory, PLM or ERP system) often have to be connected to each other (integrated). This requires integration concepts and technical interfaces.

We support technical editing in the design and development of software-based solutions to create sophisticated publications (such as interactive parts catalogues) using standard software. With our many years of experience and specialist knowledge in the field of technical documentation, we design solutions for our customers that are based on single-source and cross-media publishing principles, for example. We speak the language of technical editing and are familiar with many different types of publications and media. Important sources of information for creating technical documentation are PLM and ERP systems. This means that the integration of these systems is an important component of our range of services (e.g. for filling a PIM system or configuring a publication).

Our software architects and engineers are familiar with many of the tools and systems from the technical documentation and are well-versed in technical integration using standard interfaces and interface technologies (e.g. T4x, SOA and JEE). They also have experience with systems from product development, production planning and production, for example, Teamcenter® (PLM) and SAP (ERP).

Solution development for TechPub Studio®

TechPub Studio® (TPS) is a technical editing system (CCMS) for creating sophisticated product documentation (e.g. operating instructions). It is based on Teamcenter® and thus enables direct integration into PLM processes and data. TPS is distributed and supported worldwide by Siemens Digital Industries Software under the name Teamcenter Technical Publishing. We help manufacturing companies with our many years of experience and extensive expertise in implementing their TPS solution.

Our service begins with (1) the creation of a blueprint that describes a customer’s requirements and lays the foundations for successful implementation. (2) Based on a blueprint, we plan projects to implement a TPS solution and support you in its implementation. A component of a CCMS solution and thus of TPS is (3) the development of the document/publication structure as well as the information model and the style sheets for generating the layout, which is also part of our range of services. Another aspect of solution development is (4) the configuration of TPS (e.g. data model adaptation) and, if required, customer-specific function development. Depending on the requirement, we also (5) integrate other tools and systems to create a solution. This also includes the integration of the TPS system into an existing Teamcenter® system landscape. (6) The migration of inventory data from legacy systems is another service that we offer for holistic TPS introduction. Training and support

In addition to the technical introduction of a CCMS-based technical editing system, organisational introduction is also an important building block for successfully introducing a system. That’s why we offer training for key users that accompanies the project and support in setting up a support organisation. We also offer training for users and administrators.

We can create training materials for the technical editor and train users and admins of their CCMS solution. We are happy to fall back on the support of the client’s internal key users.

Key users can play an important role in both training and support for users. In addition to their tasks in the project with respect to creating and validating user requirements, key users can be prepared for training and technical support for users. We specifically offer training courses for key users.

To ensure the smooth operation of a CCMS solution, we help a company’s IT department to set up a support organisation and design the processes. In doing so, we take into account the role of the key user for first-level user support. Finally, we also offer a service level agreement which gives the support organisation the option of outsourcing first, second or third level support to us.
